Attendance Policy

Attendance expectations are established by each department in alignment with programmatic and professional standards. Consistent attendance is essential for successful completion. Failure to meet these requirements may result is disciplinary action, including possible dismissal. Please review the specific attendance policy for your program below.

  • Attendance and punctuality are very important if you wish to be successful in school and in the labor force. If you are going to be absent from class for any length of time, please let your teacher know. If you are dropping from Clovis Adult Education, please contact your teacher and the Academic Office. 

     

    Attendance Policy for In-Person Classes That Meet 5 Days a Week:

    If you are absent three (3) consecutive days OR 5 (5) days within the quarter, you will be dropped.

    In order to maximize instruction and prepare you for the work force, please be on time to class. You are considered tardy if you enter class five (5) minutes after the documented start time of class without prior notification of the teacher. Students will not be allowed into class if they arrive later than 15 minutes after the official start time, unless in the case of a government appointment. If a government appointment is planned, you must communicate with your teacher prior to that date.

    • Attendance Steps:
      1. After the 2nd absence, you must meet with the teacher either in person or by phone to address concerns or missed work.
      2. After the 4th absence or the 6th tardy, you must meet with the Academic Counselor or Learning Director in person.
      3. The 6th absence will result in being dropped from the class. Continued tardies can also result in your being dropped from the class.
        • If you are dropped from an in-person class, you may not re-enroll into a class that is at the same time period as the one you were dropped from. You may enroll in online (Edgenuity) or in a class that is at a different time period.

     

    Attendance Policy for In-Person Classes That Meet 2 Days a Week:

    Special Circumstances:

    1. If you have a doctor’s note indicating illness, etc. with a return to school date, you will be given up to a 5 days of excused absences.
    2. If you have a legal document from a government agency indicating that you have an appointment with a government agency, dates missed for the appointment (not to exceeded 5 days) will be excused.

     

    Failure to adhere to the attendance policy may result in removal from the program. Once removed from the Clovis Adult Education program for the quarter, you must wait until the next quarter to re-enroll.

  • *Attendance policy is for certificate students ONLY.*

    Absences:

    • If a student misses the first two days of class, they will be dropped from that class.
    • If the student is dropped, they may not re-enroll in that class until the new term begins.
    • A student will be “Discipline” dropped for excessive absences if they have 3 consecutive absences or more than 5 non-consecutive absences within an 8-week session.
    • If a student exceeds this limit in any class, they will be dropped from that class.
    • There are no excused absences.
    • Any absence due to a mandatory court ordered appointment or any state agency indicating a mandatory appointment will not be counted against the student.
      • Notification must be turned into the CTE Business Department Secretary prior to the day of the mandatory appointment to avoid the absence.

     

    Summer Absences:

    • A student will be “Discipline” dropped for excessive absences if they have 2 consecutive absences or more than 4 non-consecutive absences within the 7-week session.
    • If a student exceeds this limit in any class, they will be dropped from that class.
    • There are no excused absences.
      • Notification must be turned into the CTE Business Department Secretary prior to the day of the mandatory appointment to avoid the absence.

     

    Tardies

    Arriving late to class is unacceptable. If you are late, you are assessed 1 tardy. If you leave early, you are assessed 1 tardy. If you arrive late and leave early, you will earn 2 tardies. Three tardies is equal to 1 absence.

    • For example, if your class runs 8:30am to 11:00am:
      • Arrive on time = No tardy
      • Arrive 1 to 59 minutes late = 1 tardy
      • Arrive 60 minutes or more = 2 tardies
      • Arrive more than 2 hours late = Absent
  • The hourly requirements for attendance and curriculum in the Nurse Assistant program is mandated by the California Department of Public Health Services and, therefore must be strictly adhered to. These requirements may impact the student’s ability to make up absence where only one absence is allowed but must be made up.

    It is the student’s responsibility to notify the appropriate instructor of the absence, ½ hour PRIOR to the scheduled time for theory class or a hospital/clinical rotation.

    Additionally, students must obtain prior authorization from their instructor before leaving early from theory class or a hospital/clinical. The student must submit in writing their name, the time that the student expects to leave and the reason for leaving. This should only be done in the case of an emergency.

    Students are expected to return from all breaks on time. If you are late in returning the door will be locked and you will be considered absent for that class. Leaving class without knowledge of the instructor is an unexcused absence and will result in disciplinary action.

    Allowed absences

    One theory class, the student must submit written objectives to the instructor for class missed prior to the next class. Materials will be made-up on theory make-up day.

    One clinical absence is allowed, BUT MUST be made up on the clinical make-up day.

    If there is a second absence from theory and/or clinical, a student may be dropped from the program. There is a possibility you may be able to make-up missed objectives in the next available class.

     

    Pregnancy

    The student will be allowed to remain in the program during pregnancy providing they meet the following requirements:

    Prior to attendance at Clinicals the student must provide a written clearance from physician stating the student may participate in clinical training without physical restrictions or limitations. The student’s physical condition must permit them to meet all clinical objectives, as no light duty is available. This initial clearance needs to be presented to both the instructor and Director of Nursing Education. As the pregnancy continues, additional notes from the student’s physician, stating that they are able to continue in Clinicals without any restrictions must be provided on a monthly basis. 

     

    Note: Students must notify their instructor as soon as they suspect they are pregnant. This will ensure the student is excluded from any observational experience involving the use of X-ray or any other activities which could jeopardize the pregnancy.

     

    Personal Injury

    A student must immediately report any personal injury occurring while on Clovis Adult Education grounds or at any clinical training site, using the Student Accident Report form. This form must be completed by the student and the instructor and submitted to the Clovis Adult Education Nursing office immediately after the incident. If a doctor’s treatment is required, please notify, the Nursing Education Office at 559-327-2860. A written medical release, from a physician, must be submitted prior to returning to class. 

  • The hourly requirements for attendance and curriculum in the Home Health Aide program is mandated by the California Department of Public Health Services and, therefore must be strictly adhered to. The Home Health Aide is a short term, 40-hour program, no absences are allowed.

    Additionally, students must obtain prior authorization from their instructor before leaving early from theory class or a hospital/clinical. The Student must submit in writing their name, the time that the student expects to leave and the reason for leaving. This should only be done in the case of an emergency.

  • 1. Attendance may be required during an afternoon or evening shift. Some weekend attendance may be arranged when it is necessary to obtain specific clinical skills consistent with the objectives of the VN program.

    2. Since a student gains maximum benefits from an educational program by good attendance, it is expected that he/she will be present for all class sessions.

    3. Theory: Any student who is absent (2) theory days in any class during the Segment will be written up with a Counseling report by the theory instructor, (this is required whether or not the student has done make up work) student must also then meet with the Director of Nursing.

    4. If a 3rd absence occurs prior to the end of the segment, the student will be written up with an infraction report by the instructor and must meet with the Nurse Director. The student may potentially be dropped from the program. The student who plans on being absent from clinical has the responsibility to notify the appropriate instructor One Hour PRIOR to the scheduled clinical time. Unless specified differently in the individual instructor’s class schedule.

    5. The student who does not notify the instructor of their absence according to section “D” will receive an automatic unexcused absence. Documentation will occur.

    6. Attendance during Clinical orientation is extremely important. A student who misses the day of orientation may be required to attend that clinical with another class, the instructor cannot leave other students to provide a personal one-on-one orientation. Efforts will be made to provide make-up orientation in emergencies cases only and prior to the scheduled orientation.

    7. In the theory/clinical environment, each day’s learning and experiences build upon those of the previous day. The student who misses a large percentage of a clinical rotation cannot meet course objectives realistically. A student who is absent twice from any clinical rotation, (each segment) whether made up or not, will receive a record of counseling and must meet with the Director of Nursing.

    8. After a 3rd absence, (in a segment) the student will meet with the Nursing Director to determine if clinical objectives can be met or student will potentially be dropped. Refer to page 26, Contractual Agreement.

    9. Any Clinical make-up day must be arranged with the Nursing Director right after your absence, Student’s will not go on into the next Segment with outstanding absence(s) 15 NOTE: When a student is absent that student MUST see the Director of Nursing within 7 days (1 Week) to schedule their make-up day which will be completed within 30 days. Paperwork is to be given to the Nurse Education Secretary immediately after completion.

    10. To ensure that course objectives are met, all clinical absences must be made up in a similar clinical setting. On rare occasions, arrangements can be made to meet specific course objectives by attending functions geared towards furthering the overall professional growth of the VN student. NOTE: All makeups must be scheduled through the Nursing Director in the nursing office, Room A-8.

    11. Because make-up days require advance scheduling and additional planning by the instructor, personal requests for a particular instructor, hospital or experience cannot be honored.

    12. Any student who schedules a make-up day in clinical must attend that clinical or furnish a doctor’s excuse or a document which carries equal legal weight if student does not attend this day.

    13. If the inability of a student to meet course objectives is related to poor attendance, he/she will be required to meet with the Nursing Director. The meeting will be held to accomplish the following: 1. 2. 3. 4. 5. Identification of unmet objectives. Documentation of types of absence and reasons for them. Implementation of a plan to improve attendance. Arrangement for and referral to appropriate make-up classes. To help the student reduce absenteeism and to help him/her to achieve success in the VN program.

    14. Tardiness (3 tardies = 1 absence) will be handled in the clinical environment according to the following policy. 1. 2. 3. 4. Verbal warning Written Consult Record of Infraction meet with the Nurse Director to develop a behavioral contract. 16

    15. The policy shall include but is not limited to, criteria for attendance and the specific course objectives for which a make-up is required. Acceptable methods for make-up include:

    A. Theory: case studies, independent study, written examination, attendance at seminars or workshops, auto-tutorial laboratory, and research reports.

    B. Clinical: performance evaluation in skills laboratory, fundamentals or additional time in the clinical area with clients/patient.

     

    NOTE: Effective January 6, 2014 to successfully complete any nursing class the student must attend 95% of Theory and 100% of clinical. This qualifies the student for a class pass as far as transfer credit. This will also qualify the Vocational Nursing applicant to take the State Board Exams.
